Answer these 4 questions before you type a prompt
Why AI writes long and generic — and the 30-second fix.
When AI answers long and generic, the fault usually isn't the AI. It doesn't know four things you know very well.
1. Who reads it? Your direct boss, a foreign partner or a teammate — each needs a different voice.
2. What for? Asking approval, reporting a delay, a reminder or a polite no. The purpose decides the first line.
3. What are you to them? The relationship decides forms of address — the thing AI most often gets wrong in Vietnamese.
4. What format? Three lines on Zalo, five bullets, or a full email with a subject.
Put those four as the first two lines of the prompt. The first draft will already be close to what you want to send.
